Terms and Conditions

Booking

A booking is considered firm based upon; having contacted the studio and received confirmation of your booking in writing from a member of Lordsmill Studios Staff. If booking within 24 hours, please call us to make sure we can accommodate you.

Payment and Cancellation

Studio bookings must be paid for on the day of the shoot. All payments are non-refundable. 

Cancellations made within 48hrs before the booking time, will incur a charge of 50% of the full studio booking rate. 

Postponement

A client postponing a confirmed booking will be charged 50% of the full studio rate unless made 48hrs before the booking time. The other 50% will be added to the client's balance.

Set Up and Take down time

The client must include set up and take down time within the hours booked, to avoid overtime charges.

Overtime Charges

When you come to the studio a member of staff will remind you of your booking duration. When your booking is within 15 minutes of the end time, you must let a member of staff know if you are going to keep within your time or if you are going to go overtime. Overtime is not guaranteed as there maybe back-to-back bookings - the member of staff will let you know if you can go over or not. Overtime is charged at the usual hourly rate for the room that you have hired - £35 for podcast studio and £50 for photography/videography. Payment must be made on the day, immediately after the pack down has taken place. 

Minors

The client must ensure that all persons under the age of 18 have parents’ or guardian’s permission to be at the studio, for the purposes of the photography or filming, during the period of studio hire.

Car Park 

There is one dedicated car parking space on site. This is in a shared car park therefore please park appropriately in the designated spot and do not block others in. 

Public Liability

The client must ensure that their own public liability insurance is operative for all persons in the studio during the hours of use, to cover any accident, injury or death.

Use of Equipment

The client may not without the written consent of Lordsmill Studios: (a) remove the equipment from the studio premises; or (b) modify or alter or tamper with the equipment in any way; nor (c) use the equipment in a manner not recommended by the manufacturer; nor (d) allow the equipment to be used by any untrained or unauthorised personnel. Equipment must be returned promptly at the end of the hire period in the original condition.

The client can bring and use their own filming equipment. They can do this at the clients own risk. Equipment can be stored overnight however prior notice is required with written permission from the client that they agree for the equipment to stay overnight. 

Breakages, Losses and Damages

a) The client hiring the studio is responsible for all breakages, losses or damages caused to the studio or equipment by them, or any other person, during the use of the studio. b) All equipment and services are supplied by Lordsmill Studios entirely at the risk of the client. Lordsmill Studios shall not be liable for any loss or damage to materials or props or equipment, including consequential loss and loss of profit however caused, arising out of the use or the inability to use the equipment supplied or agreed to be supplied. c) No alterations, decorations or additions to the studio are permitted without the written consent of Lordsmill Studios. d) The client shall pay any costs incurred by Lordsmill Studios arising out of any breach of these conditions. e) The client must notify Lordsmill Studios at the time of supply if the condition of the equipment is not acceptable. f) Lordsmill Studios shall not be liable to the client for any loss, damage, expense, or for any consequential loss (including loss of profit) whatsoever or howsoever arising out of or in connection with any of the following: any damage to or loss of property by the Client or the Clients servants or agents or any third party; any breakdown, stoppage or failure of the facilities and equipment provided in the studio or any other equipment supplied to the client by Lordsmill Studios.

Variation

Any goods or services supplied by Lordsmill Studios are sold, hired or supplied under these Terms and Conditions of Business. Lordsmill Studios reserve the right to substitute or vary all or some of the items of equipment set out in such writing or quotation provided that this does not affect standards of quality and we shall not incur any liability to the customer if the equipment does not correspond to its description.

Payment / Pricing

Prices and terms subject to change without prior notice. Please confirm all estimated costs and terms with us prior to hire. All orders are subject to acceptance by Lordsmill Studios. We may require proof of identity before hiring equipment out. Credit terms are 14 days from the date of invoice. Any due amount unpaid shall is liable to interest at 2% above the Bank of England base rate. We normally allow 5 working days for your cheque to clear before dispatching any goods. Payments by cheque should be made out to Courtyard Studios.

Card Payments

If paying by card, the payment will be made to Emprise Group or Lordsmill Studios, and appear on your statement as such. There are no additional charges made for the use of a card. Your card will be charged within 24 hours. We currently accept all Visa, Mastercard and debit cards. Every transaction is subject to address verification. ln the event of the cardholder’s address not matching the company address, other identification may be required in order to process the order.

Expenses

Lordsmill Studios reserve the right to claim any additional expenses property incurred during the course of the hire period but not covered by any quotation.

Insurance of Equipment

The customer shall ascertain from Lordsmill Studios the replacement value of the equipment and arrange all risks insurance at their own expense, Insurance shall be in favour of Lordsmill Studios as payee to claims and cover a minimum £1,000,000 all risks bodily injury and property damage. A certificate of insurance naming Lordsmill Studios as ADDlTlONAL INSURED, in respects of the rental of this equipment during the term of this rental agreement, must be supplied prior to release of any equipment. The customer agrees to and does hereby indemnify Lordsmill Studios, its agents and employees harmless of and from any and all losses, damages, claims, demands of liability of any kind or nature whatsoever, including legal expenses, arising from the use, condition, (including with-out limitation latent and other defects) or operation of the equipment rented, and whosoever used or operated during the term hereof. This indemnification shall continue in full force and effect during and after term of this rental for cause arising during the term of this rental. The customer agrees to pay the rental price for the equipment rented. Should said equipment, or any part thereof, be lost, damaged, or destroyed by fire, casualty of any kind, act of God or their act or accident, the customer agrees to pay the full replacement value, or in the event of damage, agrees to pay the accrued rental plus the cost of damage. Rent shall be due whether or not such a loss has occurred. Obligation to pay shall only cease at point of payment for all losses suffered by Lordsmill Studios.

Care of Equipment

The customer shall take good care of the equipment and use it only for the purposes for which it was supplied and not part with possession of the equipment or supply it to any third party without the written consent of Lordsmill Studios. The equipment is available for inspection at the time of pick up. Lordsmill Studios understands that equipment rented will be used by well-trained, lighting-industry professionals.

Force Majeure

Although Lordsmill Studios shall use all reasonable endeavors to discharge its obligations under this contract in a prompt and efficient manner, it does not accept responsibility for any failure or delay caused by circumstances beyond its control. Furthermore Lordsmill Studios accepts no responsibility for any malfunction or breakdown, however arising of the equipment hired. Nor for any loss whether financial or otherwise. Lordsmill Studios also reserves the right to cancel this agreement or any verbal agreement relating to this hire with due notice.

Applicable Law

This agreement shall be governed by the laws of England & Wales

We reserve the right, in our sole discretion, to update, change, or replace any part of these Terms of Service by posting updates and changes to our website. It is your responsibility to check our website periodically for changes. We will notify you of any material changes to these Terms in accordance with applicable law, and such changes will be effective on the date specified in the notice. Your continued use of or access to the Services following the posting of any changes to these Terms of Service constitutes acceptance of those changes.
